Build a short file that purchasing and operations can share
The first enquiry should explain what is installed, why replacement is being considered and what outcome the owner needs. There is no need to wait for a perfect report: identify unknown items and attach the available information. A model reference marked for confirmation is more useful than an estimated dimension presented as a verified measurement.
Official module and operating documentation provides the basis for checking the selection. The Berghof documents listed as sources apply to its technology; an alternative proposal also needs its own datasheet. Avoid requesting only a price per square metre. That unit does not describe connections, operating conditions or the integration work needed by the plant.
| Data group | What to send | Purpose |
|---|---|---|
| Identification | Nameplate, model, datasheet and quantity per train | Define the element being assessed |
| Installation | End-connection photographs, dimensions and hydraulic diagram | Review connections, access and adaptations |
| Duty | Target net flow, operating hours and required quality | Set the expected outcome |
| Feed | Analysis, temperature and variability | Assess actual service conditions |
| History | Trends and results from recent cleaning | Separate renewal from a process problem |
| Intervention | Location, desired date and shutdown window | Define logistics and site work |
Give operating figures their context
Send dated records with units and the train to which they refer. For each period, include production, available pressure readings, temperature and feed conditions. Attach the applied procedure and conditions to cleaning results. A flow figure without context cannot distinguish lost capacity from a change in how the system is operated.
State how much production must remain available during the intervention and whether standby capacity exists. When comparing trains, identify differences in age or feed. Explain the destinations of permeate and concentrate as well. Acceptance should reflect the intended water use, rather than simply confirming that the new module produces flow during a short initial test.
Request quotations with comparable scope
Ask the quotation to separate modules, seals and accessories, transport, installation, modifications, automation and commissioning. It should state the confirmed lead time, exclusions and acceptance conditions. Define who supplies lifting equipment, personnel, test water and management of removed elements. These activities affect the comparison even when they are absent from the membrane unit price.
Retaining the tubular arrangement requires checking compatibility for the specific model. If outside-in UltraFlux™ is considered, request a retrofit scope with the necessary adaptations. Both approaches can be assessed against the same plant objective, but their quotations cover different work and direct interchangeability must not be assumed. Make the retained equipment and proposed changes explicit.
Prepare the shutdown and return to service
Before setting the date, confirm material availability, module removal access, responsible personnel and the ability to isolate the train. Coordinate prior cleaning, draining and preservation under the applicable instructions. Allow time to inspect connections and resolve installation issues, in addition to the physical replacement activity. Include the operating team in the handover arrangements.
Agree how the initial test, permeate quality and production with representative feed will be recorded. Retain an operating reference for subsequent monitoring. Send the enquiry file to Neptuno stating crossflow UF replacement and the desired intervention date. Missing items can then become specific questions to resolve before the proposal is finalised.
